Job Description Description: Accounting Department Manager Personable, enthusiastic, service-oriented, Accounting Department Manager to provide a positive experience with our long-time customers and new customers. We are not open to the public. Our customers enjoy doing business with us because their needs come first and we service their requests immediately. Our team members are friendly and knowledgeable when assisting customers and work together as a team throughout the process from the customer request and through to the end result the sale. There are many steps throughout the process and every detail of a step is important. Responsibilities include, daily invoicing, payment processing, purchasing, but are not limited to, answering the telephone, responding to emails, assisting customers, keeping organized, processing sample requests, taking orders for products, maintaining records in the database, and following up with customers orders. samples, pricing, and status of projects. Proficient computer skills --- Sage Accounting software; ACT CRM program; Microsoft Office programs including Outlook email, Excel, Word 3. Thorough knowledge of how the company does business, product categories, suppliers, procedures and processes of each department, and how to perform various tasks 4. Accurate and timely invoicing, purchasing, and payment processing, updating ACT customer records Important key traits: Dependable, trustworthy, honest, high integrity, positive attitude, professional, energetic, good work ethic, highly organized, anticipate needs, work smart, good phone etiquette, handle multiple projects, ability to change of priorities at any time, ability to get along well with others, be flexible, complete projects on time, willing to go the extra mile to pitch in whenever necessary. Be a good team player. Ability to work under pressure. Dress professionally. 1. Assure bank accounts are balanced and positive on a daily basis for daily cash flow management . 2. Process invoices to customers, collect payments, and process orders with suppliers accurately and timely on a daily basis . 3. Maintain accurate accounting records and activities 4. Assure payables and receivables tasks are kept current 5. Keeping ACT database updated with all requests, conversations, activities, etc. in a timely manner 6. Being a team player and working together for the good of each other 7. Cross-training with customer service for freight quotes and following up and expediting customer orders with suppliers and notifying customers of their shipments. 8. Thorough knowledge of products that we sell and their costs and selling prices for invoicing and purchasing 9. Knowing our reps and distributors and the territories they cover (everyone needs to know this) 22 Job Responsibilities and Tasks Daily Cash flow management Invoicing customer orders Assigning customer account number Purchasing from vendors Credit card processing & posting Customer service support Maintain Payables & Receivables Monthly Rep Commissions Payroll & Payroll reports Payroll Tax payments and reports weekly and monthly Sales Tax Reports monthly Maintain Inventory Records monthly Monthly Financial Statements Reconcile bank statements, credit card statements Supplier price lists Asset list maintenance Maintain customer credit applications Sales Tax Reports Maintain procedures manual for position Experience Required: Current working knowledge of accounting software such as Sage/Peachtree program and CRM such as ACT Database or equal, Excel, Microsoft Office, good communication skills verbal and written; experience with payroll; insurance; and other typical accounting department responsibilities. Compensation: $25 hour, 1-week vacation after one year, 2 weeks after 3 years Vacation: One week vacation can be taken after one year of employment, but must be taken before next anniversary year and no rollover to next year and no compensation for unused vacation days. After two years of employment, the employee qualifies for two weeks. Must be taken before the annual employment date. Can be used as single days off during the year as needed. Unused vacation is not subject to additional compensation if not used or an employee leaves the company. Working Hours: Working hours are 8:30 a.m. to 5 p.m. Monday through Friday with the office closed for lunch from 12 noon to 1:00 pm. Half hour for lunch from 12 to 12:30 Paid holidays to include Good Friday, July 4, Labor Day, Christmas Eve and Christmas Day, Thanksgiving Day and the day following, and New Year's Eve and New Year's Day. Other holidays for personal religious days can be taken as agreed upon.
